Administrator privacy notice
Who we are
Pitchside Football operates this platform. Contact us about personal data at hello@mysportsclub.co.uk. We act as controller for administrator accounts and service administration. Clubs decide how their club website content is used; we process that content on their instructions under our data processing agreement.
Information we use
We hold names, email addresses, account roles, password hashes, invitation and recovery records, club memberships, activity/audit records and service communications. Security controls use the request IP address to enforce sign-in and recovery limits. Club websites can contain public photos and contact details supplied by clubs.
Why we use it
We use account information to provide access, manage the service, deliver invitations and recovery messages, support customers and investigate security incidents. Account details are required to provide administrator access. We do not use this application for advertising or automated decisions about individuals.
Providers and transfers
Our hosting, email, support and other providers are Krystal Hosting. Personal data may be shared with authorised club administrators where needed to manage club access.
Retention
We keep account, audit, email metadata, server logs and backup records for 365 days. Reset links expire after one hour and invitations after 48 hours. Email sign-in codes expire within 10 minutes and allow at most five incorrect attempts. Challenge records are cleared by the email worker one day after expiry. Queued message bodies are encrypted and cleared after delivery or expiry when the worker runs. Security rate-limit records are cleared by the mail worker after 24 hours. These controls do not delete account, audit, mail metadata or backup records automatically.
Your rights
Depending on the circumstances, you may request access, correction, erasure, restriction, portability or object to processing. Where we rely on consent, you may withdraw it. Contact us using the details above. For club-controlled website data, contact the club; we will assist the club where appropriate. You can complain to the Information Commissioner's Office at ico.org.uk or raise a concern with us first.
